Privacy Policy

How iAppraiseTrucks collects, uses, and protects personal information.

iAppraiseTrucks ("iAppraiseTrucks", "we", "us") is operated by Sterling Information Technologies Inc. This policy explains what personal information we collect through the iAppraiseTrucks platform (the "Service", including iappraisetrucks.ca and app.iappraisetrucks.ca), why we collect it, and the choices you have. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

Who this covers

The Service is used by organizations (inspection and appraisal businesses) and their staff, and by equipment owners who receive inspection and appraisal documents. Your organization is the primary custodian of the business records it creates in the Service; we process that information on the organization's behalf to operate the platform.

What we collect

  • Account information. Name, email address, and authentication identifiers, managed through our sign-in provider (Clerk). We never see or store your password.

  • Organization and membership information. Organization name, your role within it, and membership status.

  • Inspection and appraisal records. The content your organization creates: vehicle identification numbers (VINs), photos, odometer and engine readings, condition assessments, deficiency notes, and appraisal documents.

  • Capture location. When an inspection is performed, the capture location (GPS coordinates or a manually entered location) is recorded as part of the inspection's integrity record — it documents where the physical inspection took place.

  • Payment information. Subscriptions and payments are processed by Stripe. We store payment status and Stripe reference identifiers, never card numbers.

  • Technical information. Log data, device and browser type, and IP addresses, used for security, debugging, and service operation.

Why we collect it

  • To provide the Service: capturing inspections, preparing and delivering appraisal documents, and operating role-based access within your organization.

  • To deliver documents you or your organization direct us to send (for example, emailing a released appraisal's download link to a designated recipient).

  • To process subscription payments and manage organization status.

  • To secure the Service, maintain audit trails of consequential actions, and investigate misuse.

  • To provide support and communicate service information.

We do not sell personal information, and we do not use your organization's records for advertising.

Service providers (subprocessors)

We use a small set of infrastructure providers to run the Service:

These providers process data on our instructions. Service data is primarily stored in data centres located in the United States (US-East). By using the Service you acknowledge that your information may be stored and processed outside Canada and may be accessible to authorities in those jurisdictions under their laws.

Sharing

  • Within your organization, according to the role your administrator assigns you — for example, appraisal values are visible only to roles the organization's permission model allows.

  • With recipients your organization designates, when a released document is delivered by email. Download links always require sign-in and re-check access at the time of download.

  • With service providers listed above, to operate the Service.

  • When required by law, or to protect the rights, safety, and security of the Service and its users.

Retention

We retain your organization's records for as long as the organization's account is active. Audit records of consequential actions (such as document releases and role changes) are retained as an accountability record. When an organization is closed, we delete or anonymize its data within a commercially reasonable period, except where retention is required by law.

Security

Data is encrypted in transit. Access to organization data is enforced with role-based permissions in the application and row-level isolation in the database. Documents and photos live in a private object store and are only reachable through short-lived, access-checked links.

Your rights

Subject to PIPEDA, you may request access to or correction of your personal information, and you may withdraw consent to certain processing (which may limit your use of the Service). Requests can be sent to the contact below. If you are unsatisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada.

If you are staff of, or a client of, an organization using the Service, some requests may need to be directed to that organization, since it controls its business records.

Changes

We will post any changes to this policy on this page and update the effective date. Material changes will be communicated through the Service.
